How FleetClerk collects, uses, protects, and shares your information — including the data you connect from QuickBooks Online.

Overview

FleetClerk ("FleetClerk", "we", "us") provides fleet compliance and cost-tracking software for small trades businesses. This Privacy Policy explains what information we collect, how we use and protect it, and the choices you have. It applies to fleetclerk.com and the FleetClerk application.

We design FleetClerk to collect only what the product needs to do its job, and to keep each customer’s data isolated from every other customer’s.

Information we collect

We collect the following categories of information:

  • Account information — your name, email address, and company name, used to create and secure your account. Authentication is handled by our identity provider (WorkOS); we do not store your password.
  • Fleet data — the vehicle, renewal, maintenance, and document information you enter or import, including any registration, insurance, and inspection documents you upload.
  • QuickBooks Online data — if you choose to connect QuickBooks Online, we access the expense and vendor data needed to show per-truck costs. We access this data only with your authorization and only as required to provide the feature. We do not access your QuickBooks data for any purpose other than providing FleetClerk’s cost-tracking features to you.
  • Billing information — if you subscribe to a paid plan, our payment processor (Stripe) collects and processes your payment details. We do not store full card numbers on our systems.
  • Usage and device information — basic analytics on our public marketing site (via Google Analytics) and error-diagnostic data (via Sentry) to keep the product working and secure.

How we use information

We use the information we collect to:

  • Provide, maintain, and improve FleetClerk and its features.
  • Send the compliance and maintenance reminders that are the core of the product, plus transactional and account emails.
  • Process subscriptions and payments.
  • Secure your account, prevent abuse, and diagnose problems.
  • Communicate with you about your account and respond to support requests.

How we share information

We do not sell your personal information. We share information only with the service providers ("subprocessors") that help us operate FleetClerk, and only as needed to provide the service:

  • WorkOS — authentication and session management.
  • Supabase — database and document storage hosting.
  • Vercel — application hosting and content delivery.
  • Stripe — subscription billing and payment processing.
  • Resend — transactional and reminder email delivery.
  • Intuit (QuickBooks Online) — the accounting platform you connect, accessed under your authorization.
  • Sentry — application error monitoring (configured to scrub personal data).
  • Google Analytics — usage analytics on the public marketing site only.

Data retention

We retain your information for as long as your account is active or as needed to provide the service. When you delete your account, we delete or de-identify your personal and fleet data within a commercially reasonable period, except where we are required to retain certain records (for example, billing records) to comply with legal obligations.

How we protect your data

We encrypt data in transit and at rest. Each customer’s data is isolated at the database level using row-level security, so one account cannot access another account’s data. Access to production systems is limited to the people who need it to operate the service.

No system is perfectly secure, but security is a first-class concern in how FleetClerk is built and operated.

Your choices and rights

You can access and update your account information at any time from within FleetClerk. You can disconnect QuickBooks Online at any time, which revokes our access to your accounting data going forward. You can request a copy of your data or request deletion of your account by contacting us. Depending on where you live, you may have additional rights under applicable privacy laws.

Cookies

The FleetClerk application uses cookies that are necessary to keep you signed in. The public marketing site uses analytics cookies (Google Analytics) to understand traffic; these load only where analytics is enabled.

Children's privacy

FleetClerk is a business product and is not directed to children. We do not knowingly collect personal information from anyone under 18.

Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date and, where appropriate, notify you.
