For HVAC, plumbing, electrical, pest control & landscaping shops · 5–25 trucks

You don’t have a fleet manager. You have a business to run.

FleetClerk watches your trucks’ registrations, insurance, inspections, and service, and warns you before anything lapses — so you can set it up once and stop worrying.

Free forever for 5 trucks · no credit card · no hardware

The problem

Right now it all lives in your head, a spreadsheet, and the glovebox.

  • A driver gets pulled over with expired tags— a ticket, and a truck you can’t legally run.

  • You find out the insurance lapsed the week after an accident, not before.

  • You’re always late on servicing, and a truck dies mid-busy-season. One truck down is jobs you can’t run.

  • When your office manager is out, nobody knows what’s due, what’s where, or where the insurance card is.

How it works

Set it up once. Stop thinking about it.

  1. Add your trucks

Type a VIN or import a list — minutes.

  2. Connect QuickBooks (optional)

Auto-pull what each truck costs; skip it on Free.

  3. Get reminders before anything lapses

Registration, insurance, inspection, and service — by email.

What it does

Everything your trucks need you to remember.

Compliance reminders

Registration, insurance, and inspection dates tracked per truck, with 30/14/7-day email warnings before anything lapses — so you find out before the state does.

Vehicles list with a compliance column — trucks with expired or due items flagged red at a glance.
Renewal reminder email with one-tap Mark Renewed and Snooze buttons.

Maintenance tracking

Time- and mileage-based service reminders, so a skipped oil change never turns into a truck down in the middle of your busy season.

Maintenance list showing each truck's next oil change by mileage — Truck 2 flagged due soon with 200 miles to go, the rest still current.

Document vault

Registration, insurance cards, and receipts filed per truck — so anyone in the shop can pull the paperwork without digging through the glovebox.

Truck 4's documents tab — registration, insurance card, inspection, title, and service receipts filed in one place for the whole shop to pull.

Cost per truck

Paid plans

Truck 4 is bleeding money — now you can prove it. Connect QuickBooks and FleetClerk ranks every truck by what it actually costs to run.

Fleet cost report ranking trucks by three-month spend — Truck 4 stands out at nearly triple the next truck.
Truck 4's costs tab: monthly spend trending up, with a by-category breakdown synced from QuickBooks.

On purpose

What FleetClerk doesn’t do — on purpose

  • No GPS hardware to install
  • No telematics contract to sign
  • No per-truck metering
  • No 100-row feature matrix to learn

FAQ

Questions, answered.

Do I need QuickBooks?

No. QuickBooks is optional and powers the cost-per-truck reports on paid plans. The Free plan and all the compliance and maintenance reminders work without it.

Do I need GPS hardware or a device in my trucks?

No — and we mean it on purpose. FleetClerk tracks the paperwork and the deadlines, not your drivers. There’s nothing to install, no telematics contract, and no hardware bill. It works with the trucks you already have.

What happens when I outgrow the free plan?

Nothing breaks. When you pass 5 trucks or want QuickBooks cost sync, you move up to a paid plan (starting at $19/month) — same account, same data, month-to-month with no contract. The Free plan stays free for shops that stay under 5 trucks.

Is my data safe?

Yes. Your vehicle and document data is private to your account and never shared. We use bank-grade encryption in transit and at rest.

What if I have more than 25 trucks?

The Pro plan covers unlimited vehicles at $55/month.

Can I cancel anytime?

Yes. Paid plans are month-to-month with no contract, and the Free plan is free forever.

What exactly gets a reminder?

Vehicle registration, insurance, and inspection renewals, plus time- and mileage-based maintenance — each with 30/14/7-day email warnings before the date.

How long does setup take?

Most shops are getting reminders within 10 minutes. Add trucks by VIN or import a list, and you’re done.
